Terms and Conditions

Please read these booking terms carefully before you book your Umrah, Hajj or holiday with Alhuda Travel.

ATOL 74904 Last updated: October 2026

1About Us

Alhuda Travel works in partnership with Times Travel Limited (Company Number 01813409, ATOL 74904). Our office is at 13 Station Rd, London SE25 5AH. In these terms, "we", "us" and "our" mean Alhuda Travel and Times Travel Limited, and "you" means every person named on the booking.

2Acceptance of These Terms

By booking a package, flight, hotel, visa or any other service with Alhuda Travel, you agree to these Terms and Conditions on behalf of everyone named on the booking. Please read them carefully before you book.

The terms that apply to your booking are the ones shown on our website on the date you book. We may update these terms from time to time, but changes will not affect bookings that have already been confirmed.

When you receive your confirmation, tickets and travel documents, please check all names, dates and details straight away and tell us about any mistakes. Names must match your passport exactly. Errors that are not reported quickly may be costly or impossible to correct later.

3Booking & Payment

  • A deposit of 50% of the total cost is required to confirm your booking. The deposit holds your booking but does not fix the price of flights until tickets are issued.
  • The full balance must be paid before your flight tickets are issued. Until then, prices depend on availability and may change.
  • If you ask to change your flights, hotel or transport after booking, you will need to pay any difference in price.
  • Only pay into the official Alhuda Travel bank account shown on your invoice. If anyone asks you to pay a different account, call us on 020 3286 6669 before you pay.

4Flight Tickets

  • Once issued, most flight tickets are non-refundable and cannot be changed, unless the airline's fare rules allow it.
  • Flight prices are not guaranteed until tickets are issued.
  • Airlines sometimes change flight times. Please check your flight times 72 hours before departure.
  • If your flight is delayed or cancelled by the airline, we will help you and support any claim you may have against the airline. Your legal rights are not affected.

5Accommodation

  • Hotels are subject to availability at the time of booking.
  • If your confirmed hotel becomes unavailable, we will offer you an alternative hotel of the same or a higher standard, and we will tell you before you travel wherever possible.
  • Hotel prices may change until your booking is paid in full.
  • Check-in and check-out times are set by each hotel.

6Passport & Visa

  • Your passport must be valid for at least six months from the date you arrive in Saudi Arabia.
  • Umrah visas are issued by the Saudi authorities, usually within a few working days once we have all your details. We will apply for your visa on your behalf, but the decision is made by the Saudi authorities, not by us.
  • If a visa is refused or delayed for reasons outside our control, we cannot be responsible for any extra costs, such as changes to flights, hotels or transport.
  • If you do not hold a British passport, you must also hold a valid UK residence permit or visa, valid for at least six months from your departure date. Please check any extra visa rules for your nationality with us before booking.
  • Visa rules can change at short notice. We will always tell you the latest requirements we are aware of for your travel dates.

7Baggage Allowance

Baggage allowances depend on your airline and ticket type. Your allowance is shown on your ticket, and we recommend checking it with the airline before you travel. Extra baggage fees charged by the airline must be paid by you.

8Changes by You

If you want to change your booking after it has been confirmed, please contact us as soon as possible. We will try to help, but changes depend on availability and on the rules of the airline and hotel. You will need to pay any extra costs charged by our suppliers, plus a reasonable administration fee, which we will confirm before making the change.

9Cancellation & Refunds

  • All cancellations must be made in writing by the lead passenger.
  • If you cancel before your flight tickets are issued, an administration fee of 50% of your deposit will be charged.
  • If you cancel after flight tickets, hotel or transport vouchers have been issued, any refund will depend on the cancellation rules of the airline, hotel and other suppliers, less our administration fee.
  • Issued flight tickets are usually non-refundable, except where the airline allows a refund or change with a fee.
  • Approved refunds will be paid back to the original payment method.

10Changes or Cancellation by Us

Sometimes we may need to make changes to your booking, for example if an airline changes its schedule. If we need to make a significant change, such as changing your departure airport or hotel standard, we will tell you as soon as possible. You can then accept the change, choose an alternative if one is available, or cancel and receive a full refund of the money you have paid us for that package.

11Health, Vaccination & Travel Rules

  • Meningitis vaccination: Saudi Arabia requires all Umrah and Hajj pilgrims to have the meningococcal (ACWY) vaccine at least 10 days before arrival. The certificate is usually valid for 3 years for the polysaccharide vaccine and 5 years for the conjugate vaccine. Please check the latest health rules with your GP or pharmacy before you travel.
  • Women travelling without a mahram: Under current Saudi rules, women aged 18 and over can perform Umrah without a mahram. Women under 18 must travel with a mahram, and proof of relationship (such as a birth or marriage certificate) may be requested.
  • Fitness to travel: Umrah involves a lot of walking. Please tell us about any medical condition or mobility needs before you book, so we can help you choose suitable hotels and services.
  • Local laws: While in Saudi Arabia, you must follow Saudi laws and the rules of the holy sites, including Nusuk permit requirements.

12Check-in Guidelines

We recommend arriving at the airport at least 3 hours before international flights. Check-in closing times are set by the airline. We are not responsible if you miss your flight because you arrived late for check-in.

13Travel Insurance

Travel insurance is strongly recommended for every traveller. Please arrange a policy that covers medical emergencies, cancellation and travel disruption from the day you book. Travel insurance is not included in our packages unless stated on your confirmation.

14Events Outside Our Control

We cannot be responsible for changes, delays or cancellations caused by events outside our control, such as severe weather, natural disasters, war, terrorism, disease outbreaks, government or Saudi authority decisions, or airport and airline strikes. If this happens, we will do our best to help you and to keep any extra costs as low as possible.

15Complaints

If something is not right during your trip, please tell us straight away by phone or WhatsApp so we can try to fix it while you are there. If the problem cannot be solved, please send us your complaint in writing within 28 days of your return, including your booking reference. We will look into it and reply to you as quickly as possible.

16Financial Protection (ATOL)

Flight-inclusive packages are protected under the ATOL scheme through Times Travel Limited (ATOL 74904).

When you buy an ATOL protected flight or flight inclusive holiday from us you will receive an ATOL Certificate. This lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong.

We, or the suppliers identified on your ATOL Certificate, will provide you with the services listed on the ATOL Certificate (or a suitable alternative). In some cases, where neither we nor the supplier are able to do so for reasons of insolvency, an alternative ATOL holder may provide you with the services you have bought or a suitable alternative (at no extra cost to you). You agree to accept that in those circumstances the alternative ATOL holder will perform those obligations and you agree to pay any money outstanding to be paid by you under your contract to that alternative ATOL holder. However, you also agree that in some cases it will not be possible to appoint an alternative ATOL holder, in which case you will be entitled to make a claim under the ATOL scheme (or your credit card issuer where applicable).

If we, or the suppliers identified on your ATOL certificate, are unable to provide the services listed (or a suitable alternative, through an alternative ATOL holder or otherwise) for reasons of insolvency, the Trustees of the Air Travel Trust may make a payment to (or confer a benefit on) you under the ATOL scheme. You agree that in return for such a payment or benefit you assign absolutely to those Trustees any claims which you have or may have arising out of or relating to the non-provision of the services, including any claim against us, the travel agent (or your credit card issuer where applicable). You also agree that any such claims may be re-assigned to another body, if that other body has paid sums you have claimed under the ATOL scheme.

You can find more information about ATOL on the official ATOL website.

17Privacy

We use your personal details only to arrange and manage your booking, and we share them only with the airlines, hotels, transport providers and Saudi authorities that need them for your trip. Please read our Privacy Policy for full details.

18Law & Jurisdiction

These terms are governed by the law of England and Wales, and any disputes will be dealt with by the courts of England and Wales. If you live in Scotland or Northern Ireland, you may also bring a claim in your local courts.
